Invitation to Tender - 2027 Interschool Queensland Merchandise & State Team Uniform

Interschool Queensland (IQ), operating under Equestrian Queensland, invites suitably qualified and experienced suppliers to submit a Tender Application for the supply of Interschool Queensland merchandise and the Interschool Queensland State Team uniform for a 3 year term.

This tender covers the design, manufacture, supply, and ongoing management of official IQ merchandise and State Team uniform items, ensuring consistency, quality, and alignment with the Interschool Queensland brand.

Tender Scope
The successful tenderer will be responsible for supplying the following items for a 3 year term from the 2027 season:

Interschool Queensland Merchandise
- Caps
- Polo Shirts
- Hoodies
- Puffer Jackets
- Senior Jerseys
- Soft Shell Jackets

Interschool Queensland State Team Uniform
- Maroon Ties
- Stocks
- Caps
- Socks
- Belts
- Long Sleeve Base Layer Shirts
- Polo Shirts
- Jackets
- Horse Rugs
- Saddle Pads

Suppliers may tender for all items or nominate specific items/categories.

Key Commercial Principles
Tenderers must clearly acknowledge and address the following principles in their submission:
- No financial cost to Interschool Queensland
- Pre-order based sales models are strongly preferred
- A willingness to explore a revenue share / commission arrangement that provides a small percentage return to Interschool Queensland from merchandise and uniform sales.

Existing Stock Management Requirement
As part of this tender, the successful supplier must be willing and able to:
- Take possession of all current Interschool Queensland merchandise stock on hand at the commencement of the agreement
- Continue to sell existing stock items on behalf of Interschool Queensland, alongside any newly produced merchandise
- Ensure existing stock is sold at agreed pricing and branding standards
- Maintain transparent reporting on stock levels and sales

Details of stock quantities and transfer arrangements will be provided to the successful tenderer.

Sales Model & Financial Arrangements
Tenderers must outline their proposed approach to:

Pre-order systems, including:
- Online ordering platforms
- Order cut-off dates
- Production and delivery timelines

Management of any limited surplus stock, if required
Revenue share or commission structure, including:
- Proposed percentage return to Interschool Queensland
- Reporting and payment schedule

Sales and fulfilment processes that do not incur costs to Interschool Queensland, including:
- Production
- Storage
- Distribution
- Payment processing

Objectives
Interschool Queensland is seeking a supplier who can:
- Deliver high-quality, durable merchandise and uniform items
- Maintain consistent branding across all products
- Provide a seamless purchasing experience for members
- Minimise financial and operational risk to IQ
- Support IQ through a modest income return from sales

Branding & Design Requirements
- All items must align with Interschool Queensland and Equestrian Queensland branding guidelines
- Primary colour: Maroon (with secondary colours as specified by IQ)
- Logos, embroidery, printing, and placement will be provided or approved by IQ
- Samples may be required prior to final approval

Tenderer Requirements
Tenderers must demonstrate:
- Proven experience in sporting or equestrian merchandise and apparel
- Capacity to manage pre-order based production
- Ability to manage youth and adult sizing ranges
- Strong stock management and reporting systems
- Willingness to manage and sell transferred stock
- Appropriate insurance coverage

Term of Agreement
The successful tenderer will be appointed as the preferred supplier for the Interschool Queensland merchandise and State Team uniform for a 3 year term from 2027, with the potential for extension subject to performance and mutual agreement.

Tenders will be assessed by the Interschool Queensland Committee based on:
- Product quality and suitability
- Pricing and value for members
- Ability to operate with no cost to IQ
- Pre-order and stock management capability
- Proposed revenue share arrangement
- Reliability and experience
